Privacy and Cookie Policy

At XBeat Radio Station, we take your privacy and the protection of your personal data seriously. This policy explains what data may be processed when you visit our website, use our services or contact us, why it is processed and how you can exercise your rights.

1. Who we are

XBeat Radio Station is an online radio project jointly developed by Sébastien Inconstant and Marc Denuit, through a collaboration between Belgium and France.

Sébastien Inconstant is responsible for server administration, technical infrastructure, security, website development and maintenance.

Marc Denuit is responsible for music programming, DJ relations, and the creation and coordination of graphic and audiovisual content, including flyers, visuals and communication materials.

The joint controllers can be contacted at staff@xbeat.org.

Additional identification details can be requested at this address, without prejudice to any identification information that must be published by law.

2. Contact form

When you contact us through the website form, we process the information you choose to provide, including your first name, your surname if provided, your email address and the content of your message.

This information is used to receive your request, reply to you and provide any necessary follow-up. Depending on the nature of your request, processing is based on our legitimate interest in responding to messages or on pre-contractual steps requested by you.

Your data is not sold or used to send unsolicited advertising. It is accessible only to authorised people and, where necessary, relevant technical service providers.

Messages are retained for up to 12 months after the last exchange and then deleted, unless a legal obligation or a justified need, such as a dispute, requires longer retention.

3. Newsletter

If you subscribe to the newsletter, we keep your email address, your chosen language and the date you signed up. Your subscription only becomes active after you click the confirmation link sent by email; an unconfirmed subscription is deleted automatically after 7 days.

Every newsletter contains an unsubscribe link: one click and your address is deleted. Legal basis: your consent, which you can withdraw at any time.

4. DJ set submissions

If you send us a set, we process your first name, surname, DJ name, email address, biography, photo, audio files and the IP address used for the upload (to prevent abuse).

This information is used to review your submission and, if it is accepted, to broadcast and present your show. You can ask for it to be deleted at any time.

5. Team and DJ accounts

Team members and DJs have a personal account (name, email address, encrypted password, optional two-factor authentication). Logins and important actions are logged for the security of the website.

6. Website traffic statistics

XBeat uses a self-hosted audience measurement system to understand website traffic and improve how the site works. We do not use Google Analytics for this audience measurement.

The system may use the country estimated from your IP address and a temporary identifier renewed daily to estimate the number of unique visitors.

According to the stated configuration of the system, full IP addresses are not retained in statistical data. The temporary identifier is renewed daily. Statistics are not intended to identify visitors personally or track their browsing across other websites.

Detailed statistics are retained for a maximum of 12 months. Aggregated statistics may be retained for longer only if they are effectively anonymised and no longer allow individuals to be identified.

Audience measurement is based on our legitimate interest in understanding and improving website usage, subject to applicable rules on trackers and data protection. Where consent is required for a particular technology, it will be obtained before that technology is used.

These statistics work without cookies.

7. Radio listening statistics

When you listen to the radio, the streaming server records your IP address, the approximate city and country derived from it (on our own server, without any external service), the player used and your listening times.

This data helps us understand our audience and detect abuse. It is deleted automatically after 90 days. Legal basis: our legitimate interest in running and measuring the radio.

8. Cookies and similar technologies

The website only uses cookies that are strictly necessary for it to work. These cookies do not require prior consent, which is why no cookie banner is displayed. No advertising, audience measurement or social media cookies are set.

  • Session cookie (PHPSESSID): makes the website work and protects forms. Deleted when you close your browser.
  • xbeat_lang: remembers your chosen language. Duration: 1 year.
  • xb_mfa_trust: only for team members and DJs who tick "Remember this device" during two-factor authentication. Duration: 30 days.

The radio player also keeps in your browser (local storage, never sent to our servers) the volume, the chosen stream quality and the playback state, so that listening can continue from one page to the next.

The website does not load any content from other websites (fonts, videos, scripts), so no third-party service can set cookies through xbeat.org. You can delete these cookies at any time in your browser settings.

If non-essential cookies or trackers are ever introduced, the required information and an appropriate consent mechanism will be provided before they are used.

9. Hosting and data recipients

XBeat Radio Station is hosted by Ikoula, in France.

Data may be processed by authorised people who administer the website and, where necessary, by technical service providers responsible for hosting, security or maintenance.

Personal data is not sold to third parties. It may be disclosed where necessary to operate the service or where required by law.

For questions about technical providers or possible data transfers, contact staff@xbeat.org.

10. Data retention

Personal data is retained only for as long as necessary for the purposes for which it is processed, subject to applicable legal obligations and the need to establish, exercise or defend legal claims.

  • Contact messages: up to 12 months after the last exchange, unless a legal obligation or justified reason requires longer retention.
  • Detailed statistics: a maximum of 12 months.
  • Aggregated and anonymised statistics: may be retained longer if anonymisation is effective and visitors can no longer be identified.
  • Session cookie: for the period necessary for the relevant session.
  • Language cookie: 1 year.
  • "Remember this device" cookie: 30 days.
  • Radio listening statistics: 90 days, then deleted automatically.
  • Newsletter: until you unsubscribe; 7 days for an unconfirmed subscription.
  • Submitted DJ sets: for as long as needed to review the submission and, if accepted, to broadcast and archive the show, unless you ask for deletion.

Technical server logs, if they contain personal data, are subject to separate retention rules appropriate to their purpose.

11. Data security

We implement appropriate technical and organisational measures to protect personal data against unauthorised access, loss, alteration or disclosure. Access to administration systems is restricted to authorised people.

However, no transmission or storage of data over the internet can be guaranteed to be completely secure.

12. Your rights

Under the General Data Protection Regulation (GDPR), and subject to the applicable conditions, you may:

  • request access to your personal data;
  • request the correction of inaccurate data;
  • request the erasure of your data;
  • request restriction of certain processing;
  • object to processing based on legitimate interests, on grounds relating to your particular situation;
  • request data portability where this right applies.

To exercise your rights, contact staff@xbeat.org. You may contact either joint controller. Additional information will be requested only where necessary to verify your identity and protect your data.

You may also lodge a complaint with the competent supervisory authority. In Belgium, contact the Data Protection Authority. In France, contact the CNIL.

13. Joint responsibility

Sébastien Inconstant and Marc Denuit jointly determine the purposes and means of processing personal data in connection with XBeat Radio Station. They organise the allocation of their responsibilities, particularly regarding visitor information, requests to exercise data rights and security incidents.

The main points of this allocation of responsibilities can be requested by emailing staff@xbeat.org.

14. Changes to this policy

This policy may be updated to reflect changes to the website, the services provided or applicable legislation. The version published on this page is the current version.

15. Contact
